1. Data Collection & Purpose

eGateSNAP collects minimal data required to ensure secure campus movement and identity verification. We classify data into three categories:

  • Identity Data: Name, Student/Employee ID, Department, and Profile Photo. Used for visual verification by Security Guards.
  • Movement Data: Timestamp, Location (Gate ID), and Approval Status for every entry/exit event. Used to generate audit logs and safety reports.
  • Device Data: Device ID and IP address of authorized devices (Guard/Admin). Used to prevent unauthorized access and enforce geo-fencing.

2. Data Security & Storage

We employ enterprise-grade security measures to protect institution data.

Encryption

All data is encrypted in transit using TLS 1.3 and at rest using AES-256 encryption standards.

Isolation

We use strict Row-Level Security (RLS) to ensure data from one institution remains completely invisible to others.

3. Data Retention & Deletion

Movement logs are retained for the duration of the academic year for audit purposes. Institutions may request a full data export or permanent deletion at any time via the Admin Portal. Upon contract termination, all institution data is securely wiped within 30 days.

4. Third-Party Access

We do not sell, trade, or share student data with third-party advertisers. Data is shared only with sub-processors strictly necessary for hosting (e.g., AWS/Google Cloud) and SMS/Email notification services, all of whom are bound by strict data processing agreements.
